Privacy Policy

Last updated: 16 October 2026

Allen Real Estate Buyers Agents (we, us or our) respects your privacy. This policy explains how we handle personal information when you visit our website, contact us or use our buyers’ agency services. It applies to Allen Real Estate, not automatically to a separate mortgage broking or other business.

Information we collect

We collect information reasonably needed to respond to enquiries and represent property buyers. This may include your name, email address, telephone number, address, preferred locations, property requirements, budget, purchase timeframe and relevant details about your purchasing entity or authorised representatives. We also keep correspondence, service agreements and transaction records.

Where needed for a service or required by law, we may collect identity documents, date of birth, ownership or beneficial ownership details, and information about the source of funds or wealth. Please do not send identity documents, bank statements or other sensitive documents through an ordinary website enquiry form. Contact us first to arrange an appropriate method.

How we collect information

We usually collect information directly from you through forms, email, telephone, meetings and client documents. We may also obtain relevant information from authorised representatives, professional advisers, selling agents, public records and property research providers. If you provide another person’s information, please ensure you are authorised and tell them about this policy.

You can make a general enquiry without identifying yourself where practical. If you do not provide information needed for a service or legal check, we may be unable to provide that service.

How we use information

We use information to answer enquiries; understand your purchasing brief; research, inspect and assess properties; communicate with agents and advisers; negotiate and support purchases through settlement; administer fees and records; improve our services; and meet legal obligations.

Where anti-money laundering and counter-terrorism financing requirements apply, we may verify identity, undertake customer due diligence, keep required records and disclose information to AUSTRAC or other authorised bodies. Legal restrictions may prevent us from telling you about a particular disclosure.

Who we share information with

We share relevant information with staff, authorised contractors and service providers assisting our business, including website, email, contact management, document storage, technology support and accounting providers. Our website is hosted by Squarespace. We use ActiveCampaign for contact management and email communications.

To carry out your instructions, we may share necessary information with selling agents, solicitors, conveyancers, inspectors and other advisers involved in your purchase. We may disclose information to insurers, professional advisers, regulators or authorities where reasonably necessary or legally required. We do not sell your personal information. A referral of your personal details to a separate mortgage broking business requires your permission or another lawful basis.

Overseas services and support

Cloud and technology providers may store or process information outside Australia, including in the United States. We also use support personnel in the Philippines. Access to personal information is limited to what is needed for their work. Other processing locations depend on the provider and its arrangements. Contact us for further information about a particular service or overseas recipient. We take reasonable steps appropriate to our legal obligations to protect information handled overseas.

Website data, cookies and tracking

Squarespace and services used by the website may collect technical information such as IP address, browser and device type, pages visited, referring website and time of visit. Cookies and similar technologies may support website operation, security and visitor statistics. Forms using Google reCAPTCHA also involve Google processing technical information to help prevent spam.

If enabled, Google Analytics, Meta Pixel or other measurement and advertising tools may collect browsing and interaction information. You can manage cookies through your browser and any cookie controls displayed on the site. Blocking cookies may affect functionality. External websites and social platforms have their own privacy policies.

Marketing and your choices

We may send property updates, newsletters or service information where you subscribe, consent or the law otherwise permits. An enquiry is not permission for unrestricted marketing. You can unsubscribe using the link in an email or contact us to opt out. Necessary communications about an active enquiry, appointment or transaction may continue.

Security and retention

We take reasonable steps to protect information from misuse, loss, unauthorised access, alteration or disclosure. No online system is completely secure. We retain records as reasonably needed for the purposes described here and applicable legal, professional, insurance or dispute requirements. When information is no longer needed and retention is not required, we take reasonable steps to delete it securely or de-identify it. We respond to data breaches and provide notifications where required by law.

Access, correction and complaints

You may ask to access or correct personal information we hold by contacting Andrew Allen. We may need to verify your identity. We will respond within a reasonable time and explain any lawful refusal or applicable access charge. There is no charge to make a request or ask for a correction.

Please contact us with details of any privacy concern so we can investigate. We aim to respond to complaints within 30 days. If dissatisfied or the matter remains unresolved, you may contact the Office of the Australian Information Commissioner at www.oaic.gov.au or on 1300 363 992. The OAIC can explain whether your complaint falls within its jurisdiction.
